Finance and Administration Executive Officer

Responsibilities

Handle the Accounts Payable function which includes:

  • review Payment Request Vouchers to ensure proper documentation and approvals as well proper account coding
  • setup interbank transfer/ preparing cheques and arranging for release/ signing
  • bank reconciliations
  • ensure the transactions are properly recorded in the accounting ledger
  • responsible for the complete supporting documents and files
  • handling inquiries from vendors on payments
  • booking journals in accounting system
  • assisting customers on payments
  • maintaining the creditors aging report

Month-end closing and financial reports

  • journal all transactions including payments, accruals, fixed assets additions and depreciation, amortisation of grants and release of prepayments etc
  • maintain fixed assets register and controls surrounding fixed assets
  • conduct fixed assets count
  • prepare audit schedules and assist in audits
  • assist in audit
  • backup of accounts data weekly

In respect of Administrative work

  • taking and attending to calls to the general office line
  • general receptionist duties as receiving guests to the office/ meeting rooms
  • obtaining required quotes, ordering and receiving office stationery and pantry supplies
  • arranging printing of name cards, letterheads etc
  • preparing payment requests on requisitioned items
  • arranging lunch/ refreshments for Board/team/guests meetings
  • mailing, photocopying and scanning duties
  • sorting, filing, corporate records management and data entry
  • other general admin duties

Any ad-hoc duties assigned

Requirements

  • Minimum Diploma/A Levels with relevant work experience
  • Proficient in Microsoft Word and Excel
  • Keen to learn and possess positive attitude
  • Detailed and meticulous
  • Independent and able to multi-task
  • Experience in Navigation software preferred

Senior Technical Officer (Audio Visual)

Responsibilities

  • Co-ordinate the logistics movement with internal/external stakeholders;
  • Assist in tracking and managing event calendars to maximise bookings and utilisation of facilities;
  • Assist in AV team’s manpower (full time/ part time) allocation and supervise daily technical, operational and administrative work;
  • Revise and evaluate risk assessment to ensure compliance of safety procedures and safe operation at all SCCC venues;
  • Plan prepare and set-up equipment (AV/props/ furniture) required for events/ venues;
  • Plan and maintain AV inventory and coordinate the AV maintenance schedule, to ensure smooth and efficient operation of the venues;
  • Trouble-shooting of AV equipment;
  • Operate vertical personnel platform (personnel lift) to rig and focus lightings/ speakers;
  • Supervise and be responsible for the technical requirements and costs for performances and events held at SCCC venues;
  • Manage all production needs for performances/ events assigned;
  • Act as a liaison between hirers and in-house production team to ensure production needs are met and delivered in a safe and orderly working environment while upholding excellent service standards;
  • Co-ordinate logistics movement with internal/external stakeholders;
  • Provide cross-functional support for other venues;
  • Required to work on evenings, weekends and public holidays to support events;
  • Any ad-hoc duties as required by Manager (Estates) or Assistant Director (Estates).

Administration support:

  • Familiar with venue booking system for the daily administration and booking of venues and AV equipment;
  • Assist the Manager (Estates) in planning of resources and allocation of work schedule;
  • Monitor and update equipment stock and inventory;
  • Maintain and supervise general housekeeping of designated venues.

Requirements:

  • Bachelor Degree in Electrical/ AV Engineering/ Event Management with at least 3 years of relevant experience or 6 years of work experience (for diploma holder);
  • Proficiency in MS Office applications, preferably with AutoCAD Knowledge;
  • Able to communicate in English.  Fluency in Mandarin would be an advantage;
  • Experience in programming/handling digital sound mixing console and digital lighting console;
  • Experience in AV automation controls such as Extron and Crestron;
  • Licensed to operate vertical personnel platform (personnel lift);
  • Licensed to rig and focus lightings/ speakers;
  • professional certificate in fire safety management or Occupational Health and Safety Management System (OHSAS 18000) would be an advantage;
  • Excellent interpersonal skills and a team player;
  • Ability to multi-task and work in a fast-paced environment.
